Episode 667: Open Networking for Online Meetings
Synopsis
BNI Austin Area Director Ray Freer contacted Dr. Misner recently to asked about how to get all the chapter members engaged during the open networking part of their BNI online™ meeting. Some people dominated the conversation. It was difficult for people to have or follow multiple conversations.
Here’s what Ray did to reduce the chaos and increase member participation.
- Replaced the 15-minute open networking session with two break-out sessions.
- Assigned 2-3 people to each break-out room. (The Zoom platform can handle up to 50 break-out rooms at once, which is enough for even the largest BNI chapter.)
- Made sure that every visitor was assigned to a group with potential members of a Power Team.
- Brings everyone back together to wrap up for the last 1-2 minutes of the open networking period.
This reduced the chaos and helped to ensure that visitors had a good experience.
Priscilla’s chapter is doing this and it’s been very successful. Her chapter president allows people to choose who they want to be in a breakout session with. She says people are visiting from other chapters to meet her because they’ve heard her on the podcast. She always wants a chance to talk to those people.

Hello, everybody and welcome back to The Official BNI Podcast. I’m Priscilla Rice. And I’m coming to you from Live Oak Recording Studio in Berkeley, California. I’m joined on the phone today by the Founder and the Chief Visionary Officer of BNI, Dr. Ivan Misner. Hello, Ivan, how are you today?
Ivan:
I’m doing fantastic, Priscilla, thank you so much. And I just wanted to share with everyone I got some numbers that I think you’ll find interesting as well. Priscilla, since the beginning of BNI podcast, over our history, we’ve had over 7 million downloads or listens on BNI Podcast and iTunes. It doesn’t count BNI University. So 7 million not counting whatever has been listened to on BNI University. In the month of June, I’ve got a June’s numbers, we had 118,000 downloads of the podcast, so over 100,000 a month. That’s pretty good. Thanks, Priscilla.
Priscilla:
That’s really great. I have to say I’m impressed.
Ivan:
So today we’re talking about the open networking portion of the meeting online. And I’m talking about this because I received an email from a member. He’s a chapter president, and he’s also a director consultant. He’s a friend and my son is a client of his. Ray Freer does insurance and my son’s company I referred to Ray, and so Ray has been taking care of my son and medical insurance for us.
Ray sent me this message that I want to share with everyone. He sent me a couple of messages and I’ve merged them together here. But this is what he what he said and it has to do with the open networking. “During the meeting, ” he said, “I’ve noticed that my chapter was meeting during the open networking and we didn’t have everyone engaged in that part of the meeting. And some people dominated the conversation on the platform, it was really difficult for multiple people to hear what was, you know, taking place or to engage in the conversation.”
So he said, “I started to have…”, and I know a number of chapters [have done this]. So this may not be a surprise to some of you, but others, you may not have done this, you may have been just doing the open networking with everybody. He said, “I started to have two, six or seven minute breakout sessions. And then the last minute or so of the open networking, return to the main room, before we call the meeting to order. This really has increased the conversations that take place.” And sometimes he provides a topic to ask each other and usually puts about two or three members in a breakout group. And sometimes he’ll give a topic that you can talk about, or you could schedule a one-to-one with them. You don’t do the one-to-one but you schedule the one-to-one, or just talk, chat, with them as you would if you were walking around and meeting people.
You know, our goal is to try and make this as as much as in-person as possible during this time. And he said, “You’d put two to three members in different rooms and he would make sure that a visitor goes into a room that would have someone that might be in their power team if possible, or someone in a business that would be easy to strike up a conversation.” And so he takes a few extra seconds, Ray said, to rearrange them to make sure that there was a natural referral partner, particularly for the visitors. And then, again, give two, six or seven minutes small group conversations. And then, you know, so you do one and then create a second one.
One of the goals he had, which I think is really important, is he wanted to make sure that visitors had a good experience. Because imagine coming to BNI for the first time, online, and the first 15 minutes can be chaotic, unless you do something like this. So I love this concept. I thought I would share it for those chapters that aren’t doing it. You should try this out. Ray says that he’s had such great feedback from this action from members, that it’s really forced them to engage more during the open networking than it did when everyone was just kind of just thrown into one Zoom meeting.
And he loves being able to give a topic to the room so that they can enter the breakout session with something to discuss if they don’t have anything else. And he said in there, he thinks that this can happen with any size room. I believe that’s true. I was told by somebody recently that the most breakout sessions you can have or breakout rooms you can have is 50. So that should handle our largest chapters of BNI with two or three people at a time. And again, this came from Ray Freer here in Austin, Texas. What are your thoughts on this Priscilla?
Priscilla:
Well, we are doing that, and it does help because in a group of 30 or something, you can’t have individual conversations. It doesn’t work. So, you know, our president puts us in a smaller group in a breakout room.
And sometimes you can request to be in a particular room with somebody that you’re interested in talking to, like sometimes people come visit our chapter just because they’ve heard me on the podcast and they want to want to meet. And so then I like to be in a breakout room with those people, especially since they’ve come from far away to interact, but it definitely helps. It’s kind of like being around the water cooler, with a couple of people. That makes it feel comfortable and it seems effective, too.
Ivan:
I love it that people are wanting to come to your chapter to meet you. I think that is so cool.
Priscilla: I know.
Ivan: I’m sure people go, “Oh my goodness. You sound just like you do on the podcast.” That’s what people say to me all the time.
Priscilla:
Right? I actually, Ivan, got to go visit somebody in their chapter in Australia. And they had me interview them for their Presentation, their six minute presentation, as if it was on the podcast.
Ivan:
How cool is that? That’s fantastic. I love it. And so if your chapter is not trying this idea out, we’d love for you to try it out. I think it’s a great way of reducing sort of the chaos of having everyone together. And even just as important, if not more important, it’s a great way to make visitors feel welcome. The visitor experience is so important, particularly during this online period of time, that I think it’s really important to make them feel welcome.
We’ve talked about visitors – go to episode number 659, to talk about inviting visitors to an online meeting. And in that I mentioned that we’ve passed more than a billion dollars worth of business during the online meetings, and that was several months ago. Now. Priscilla, it’s up to almost, actually it would be over four billion – over $4 billion has been transacted in Thank You For Closed Business since the middle of March.
Priscilla:
Wow.
Ivan:
Yeah, that’s just amazing to me that we’re able to do that. So, a couple of other thoughts from about Ray’s email. First of all, Ray, thank you so much for sending that to us. I appreciate it. I know that a lot of chapters are doing it. Again, it’s great for the visitors, think about their situation and having a chance to do a small group conversation can really make them feel a lot more welcome to the group, which is part of what we want. Anything you want to add, Priscilla?
Priscilla:
Yeah, always just thinking that we usually end up being in the bigger group so that people are able to connect with other people that they weren’t in the breakout room with.
Ivan:
Yeah, so during the open networking?
Priscilla:
Yeah, at the end of the meeting after one when we finished the meeting, we still are talking to each other.
Ivan:
And yeah, I think I said that from what he sent me, but if not, that is what they do after the two breakouts of six to seven minutes, then he does about a minute or so of getting everybody back together, and then starting the meeting. So yeah, you do want to bring everyone back together and start the meeting. That’s the way to do it.
